BEFORE YOU BOOK

Session booking terms

Version 1.1 · October 16, 2026

Please review these terms before booking a photography session. We’ll confirm your session details and total price in a written quote and completed agreement before requesting payment.

1. Your booking and written quote

These terms are for personal portrait, graduation, couples, family, individual athlete, proposal, and mini-session bookings with Cameron Dorr, doing business as C. Dorr Photography. They accompany your completed, signed booking agreement and apply when incorporated into that agreement. They do not change an existing signed booking.

Your quote and agreement identify the adult client, date and time zone, meeting point, participants, session scope, image count, total payable, approved expenses, payment dates, and delivery deadline. All agreed mandatory charges are included in the total. Optional extras require your written approval and an updated total. The date is reserved only after both signatures, the required payment, and written booking confirmation. An inquiry alone does not reserve a date.

These standard terms are designed for bookings negotiated and completed remotely. In-person sales at a home or temporary location may require separate cancellation notices and forms. Any mandatory cancellation or refund right takes precedence. Weddings, full events, team assignments, commercial licensing, and physical print orders require separate terms.

2. Payment

For standard sessions, a 25% booking deposit is credited toward the total, and the remaining 75% is due one calendar day before the session, unless the completed booking details specify otherwise. Mini-sessions are paid in full after their date, time, location, and terms are confirmed. Mini-session payment is an advance toward services; it is not automatically forfeited upon cancellation.

Payments are made through the secure Stripe link Photographer supplies. A payment link does not authorize future charges. Any changed quote requires a corrected payment amount. If a payment deadline is missed, Photographer will contact Client and provide a written deadline to cure before releasing the date. No automatic late fee is imposed. Delivery and the personal-use license begin only after the agreed amount for completed services is paid.

3. Client cancellation and refunds

Client may cancel by email or text to the business contact below. Notice is measured from the scheduled start time in the session’s time zone. Photographer will acknowledge receipt; Client should call if an urgent message is not acknowledged.

  • Seven or more calendar days before the session: payments are refunded, less only nonrecoverable third-party expenses that Client approved in writing before they were incurred.
  • Less than seven days before the session, including a no-show: Photographer may retain only documented, reasonable net loss caused by the cancellation, capped at 25% of the agreed session fee before tax, plus the separately approved nonrecoverable third-party expenses described above. Photographer will make reasonable efforts to refill the slot. Replacement booking revenue and avoided costs reduce any retained amount. No additional lost-session fee is charged. A loss or expense may be counted only once; separately deducted third-party expenses are excluded from the net-loss calculation.

Any amount above the permitted deduction is refunded, including prepaid balances and tax adjustments as applicable. Photographer will provide an itemized calculation and initiate any refund within 10 business days after cancellation. If the slot is subsequently rebooked and reduces the loss, Photographer will initiate an additional refund within 10 business days after that replacement session. Refunds go to the original payment method; bank processing time is additional. Any mandatory legal cancellation or refund right takes precedence, including any applicable right to cancel without penalty or expense deduction. Photographer will supply any legally required notices and cancellation forms when applicable and meet the governing deadline if it is earlier than this agreement’s refund deadline. The ordinary seven-day policy does not replace a mandatory cooling-off period.

4. Rescheduling, illness and lateness

Client may make one change without a rescheduling fee with at least 48 hours’ notice. All payments transfer to a mutually available date within 90 days of the original session. If no mutually workable date is available despite reasonable efforts, either party may cancel under Section 3, measured from the original rescheduling notice. Further changes require written agreement; they do not trigger an automatic fee.

For notice under 48 hours, illness, or an emergency, contact Photographer as soon as possible. Do not attend while contagious. Photographer will first try to find an alternative date and will not impose a separate illness fee. If rescheduling cannot be agreed, Section 3 applies. A credit will not be silently forfeited at the end of 90 days; Photographer will contact Client to extend it by agreement or process cancellation under these terms.

Mini-sessions may transfer only to another available mini-session slot; changing to a full session requires a new written quote, with previous payments credited. Client lateness reduces the available coverage time; the session does not automatically run late. If no usable coverage remains, treat it as a late cancellation. Photographer lateness will be made up by extending coverage if feasible or by a mutually agreed reshoot or proportionate refund.

5. Weather, safety and photographer cancellation

Photographer will check conditions and normally contact Client about weather by the evening before an outdoor session, with a final check about two hours before the start when practical. Lightning, dangerous wind, unsafe temperatures, smoke, closures, or other unsafe conditions may require an earlier or immediate change. Cloud cover alone does not automatically require a change. A meaningful change of location requires both parties’ agreement.

If Photographer postpones for weather or safety, all payments transfer without a fee to an agreed date. If no mutually acceptable date or alternative can be found within 90 days, Client may choose a full refund of amounts paid for services not performed. For an interrupted session, Client may choose a no-charge completion/reshoot or a proportionate refund for undelivered services. Nonrecoverable third-party expenses may be deducted only if the separate risk and amount were approved in writing before booking; otherwise Photographer bears those expenses.

If Photographer cancels for illness, equipment failure, or another inability to perform, Client may choose a mutually acceptable reschedule or a full refund for unperformed services. A substitute photographer requires Client’s written approval. Refunds are initiated within 10 business days. Neither party must take an unsafe action, trespass, or violate venue rules. Action sessions cover only the agreed sport and safe, permitted access; no hazardous maneuver is required.

6. Editing, delivery and storage

Photographer selects and edits images consistent with the portfolio style Client reviewed. Standard editing includes color, exposure, and crop adjustments. Extensive retouching, body changes, composites, and additional images require a separate written quote. RAW files, unedited outtakes, and every frame captured are not included. Specific expressions, weather, background conditions, action moments, or proposal reactions cannot be guaranteed; Photographer remains responsible for the agreed professional services and deliverables.

Unless a different deadline is written above, the finished gallery will be delivered within 21 calendar days after the session, or 14 calendar days for a mini-session. Client receives the agreed number of high-resolution edited JPEGs through a private online gallery or secure download link. Yearbook specifications and deadlines must be supplied before booking. Any delay caused by missing client selections, specifications, or information will be discussed and a revised deadline confirmed in writing; Photographer will not silently extend delivery.

If a delay is anticipated, Photographer will notify Client before the deadline, explain the issue, and propose a date. If delivery is more than 14 days overdue for a reason within Photographer’s control and no extension was agreed, Client may request completion within seven days or a proportionate refund for the undelivered work.

Client should report technical defects or a missed agreed deliverable within 14 days of gallery delivery so Photographer can correct it; this does not waive legal rights after 14 days. One reasonable round of corrections to meet the agreed editing scope is included. A request for a different artistic style or additional retouching may require a quote. The gallery remains available for at least 90 days after delivery; Client should download and back up the files. Photographer keeps delivered JPEGs for at least 12 months, but does not promise permanent storage. No retention of RAW files is promised.

7. Copyright and Client’s personal-use license

Photographer retains copyright. Once paid, Client receives a perpetual, nonexclusive personal-use license to download, back up, make personal prints and gifts, share with family and friends, post on personal social accounts, and submit an agreed senior portrait to a school yearbook. Client may use a print lab of their choice. Normal resizing and cropping for a frame, profile, or yearbook are permitted. Credit to C. Dorr Photography is appreciated but not a condition of this personal license.

The license does not permit resale, stock licensing, advertising, sponsored posts, business/team/sponsor promotion, AI model training, or other commercial exploitation. These uses require separate written permission. Client must not falsely attribute materially altered versions to Photographer or use the images unlawfully. This agreement does not restrict uses otherwise permitted by law. Copyright ownership does not itself give Photographer permission to advertise with a person’s likeness; Section 8 governs that permission.

8. Privacy and optional portfolio permission

Public use of identifiable client images is off by default. Photographer may process and share files privately with necessary gallery, storage, printing, and editing providers solely to perform the booking, with reasonable confidentiality protections. Photographer will not publicly identify a precise meeting point, publish a private gallery, or disclose a surprise proposal before the agreed announcement.

No marketing release is required to book, and declining does not change the price. Any public use requires a separate signed release from each identifiable adult and from a parent/legal guardian with authority for each identifiable minor. The booking client cannot grant permission for another adult. If consent is absent, the image will not be used publicly.

An optional release may authorize only Photographer’s own portfolio, website, organic social posts, and sample albums. Paid advertising, stock sale, third-party licensing, sensitive uses, and AI training require separate specific permission. No identifying child names, school details, personal tags, or precise locations will be published without additional written approval. Client may request removal from channels Photographer controls; Photographer will stop new use and remove controlled online copies within 10 business days, but cannot recall distributed print materials or third-party reposts.

9. Participants, access and unexpected loss

The contracting Client must be at least 18 and have authority to book the services. For a minor participant, a parent or legal guardian with legal authority must sign for that child’s participation, or provide separate written participation authorization before the session, and remain responsible for appropriate supervision. Participation authorization does not grant marketing permission or waive the child’s legal claims. Each adult’s separate marketing permission is addressed above. Photographer and Client will agree who obtains access permissions and permits before booking. If permission is refused, the parties will seek an approved alternative; no unauthorized access is required.

Photographer will use reasonable care with equipment, files, and backups. If images are lost, corrupted, or materially unusable because of Photographer’s failure, Client may choose a no-charge reshoot if suitable or a full refund for a total loss, or a proportionate refund for a partial loss. For an unrepeatable proposal, a substitute portrait session is optional and does not replace Client’s refund choice. These remedies do not waive nonwaivable statutory rights or claims involving fraud, intentional misconduct, gross negligence, or personal injury. This agreement includes no blanket injury waiver or obligation for Client to indemnify Photographer.

For a surprise proposal, a separate written plan must confirm the safe contact method, timing, position, signal, arrival instructions, and backup plan. Photographer cannot guarantee an exact moment blocked by people, venue restrictions, or a deviation from the agreed plan, but remains responsible for their own performance.

10. Agreement, changes and signing

The completed booking agreement, its written quote, and these incorporated terms form the agreement for your session. Changes require both parties’ written acceptance. A later client-specific amendment takes priority only where it explicitly changes a term. A website update does not change a signed booking. Colorado law governs, subject to mandatory laws that apply to the client. If one term is unenforceable, the remaining lawful terms continue.

Both parties are encouraged to resolve concerns directly, but contacting the photographer is not a prerequisite to a complaint, payment dispute, or legal claim and does not shorten any legal deadline. Nothing restricts honest reviews, reporting to regulators, lawful payment-card dispute rights, or access to small-claims court and other lawful remedies.

You may sign electronically or on paper. You must have an opportunity to review the full agreement and receive a downloadable or printable completed copy. Any legally required consumer disclosures will be provided through an appropriate process. Viewing this page or paying through Stripe alone does not sign the booking agreement, authorize later automatic charges, or grant marketing permission.
